Where can I find it?
The Data Manager is accessible from 2 locations: the Main Menu and the Toolbar.
To access the Main Menu, click on the OI logo next to your browser’s navigation bar (top right). It is the same logo as the one shown below and appears in orange when you are logged in.
If you can't find the Toolbar, go in the Main Menu and check in your Settings, under Privowny App Components. You might have chosen to hide it…
The Data Manager is symbolized by a stack of papers.
While both icons open the Data Manager, the Toolbar is designed to show you at a glance the information relative to the website you are currently visiting and allow quick actions. The Main Menu on the other hand gives you access to all the data you have collected over time.
Next to each icon is a circle with a number or symbol. For example, if there is a "✓" next to the "stack of paper" icon, then it means that the current website has collected some data about you.
Let's say you are visiting acme.com, then it means that, over time, Acme has collected some information about you. It probably has at least one set of login credentials, a list of your searches, shipping addresses, banking information…
To see the details of the data you've left on that site:
- Position your mouse on top of the stack of paper --> it turns blue and expands
- Click on the checkmark
The Data Manager opens up and shows you a copy of the personal data Acme has collected about you during your visits (with the date of collection).
Using the Data Manager
You can manually add as many pieces of personal data as you wish: passport numbers, bank account information, social security number… In addition to storing your copy of the data collected by websites, the Data Manager can be used as a vault to store and encrypt any data you want. To do this:
- Click on the big blue "+" button (bottom right) —> It opens a popup
- Enter the data information in the fields (Company or Personal data/Type of Data/Data)
- Click on the lock icon if you want to encrypt the data
- Click on "Save"
- Click on the "x" icon to cancel without saving
If you forgot to encrypt the data you entered before saving (or didn't want to at the time), don't worry, you can still encrypt it at any time in the Data Manager.
Unless you decide to encrypt it, the data collected and stored in the Data Manager is kept "in the clear" (not encrypted) by default (unlike the Password Manager which encrypts your passwords by default). Not all the collected data is worthy of encryption but some certainly are (bank information, IDs, etc.). We highly recommend that you encrypt any sensitive data, whether it was collected by a website or added manually to the Data Manager. To do that:
- Check the box next to the data you wish to encrypt
- Click on the Closed Lock icon
If you want to decrypt encrypted data:
- Check the box next to the data you wish to decrypt
- Click on the Open Lock icon
- Enter your Master Key (this is the prerequisite for your data to be truly safe - No way around it)
Your Master Key is a sequence of characters that you created and that you and only you know. It is used to decrypt the sensitive data stored in your Managers. You are it's only guardian, we truly have no access to it (and therefore can't misuse it our put it at risk), so make sure to keep it safe and not lose it or your encrypted data would stay in gibberish form forever. The good news is: this is the only password you now need to remember!
Encrypting data left online will only encrypt the data stored in your Data Manager, NOT the data collected and stored by the websites you were visiting.
Since the Data Manager can be used as a secured storage vault, we built-in a powerful search engine to help you find what you need easily.
You can use the filters to find where you left important data like passport numbers, personal addresses, credit cards, etc.
It is possible to encrypt any or all of the pieces of data saved in the Data Manager but, if you do so, the search feature will not be able to re-index the encrypted data, and it will no longer be searchable. If you want to search all of the data stored, make sure to decrypt it all first.
- Check the box next to the company/data you decided to remove
- Click on Trash icon
- Enter your Master Key to confirm it's you
Warning! When you delete a company/data from your Data Manager, the data will disappear from your Manager but they are NOT deleted by the site who gathered them. To remove your data from a company's database, you need to contact them directly.
Using the Toolbar
If you are visiting a webpage with input fields and the data requested has been saved in your data Manager at some point (let's say they are asking about your phone number and it just so happens that you gave this information a couple days ago on another website on which you allowed Privowny App to collect) then you can retrieve the data easily to fill the form:
- Go to the website
- Click on the ">" icon
If you are retrieving encrypted data, you will then need to enter your Master Key (this is the prerequisite for your data to be truly safe - No way around it). The appropriate data is retrieved and entered in the field.
Learn more about how to use the Smartfield Icon here.
You can choose to allow data collection on some sites and not on others, just click on the toggle.
Red means that the Data Manager will not collect the data you leave behind on the website you are currently visiting. Green means it will.
Of course your preference will be remembered for every visit to the same website.
Unfortunately, voicing your preference about data collection with us will not stop websites from collecting your data… If this is what you want, then you need to request the site delete the data it has collected about you. If you are a European resident you will be supported in this request by the European Union and the GDPR.
